AccessCodes and PaperID's

The final paper submission site of the SYSID webserver is password protected. The corresponding author of an accepted paper has received an Access Code for each accepted paper. The AccessCode has been sent to you by email and is coupled with your PaperID in that it allows access to all specific information concerning one manuscript (regular paper, invited session contribution or software contribution) identified by the PaperID and the AccessCode.

Co-authors

As corresponding author you are asssumed to pass the AccessCode to your co-authors so as to share all information concerning your manuscript with your co-authors. The corresponding author is responsible for the coordination of the work.

Expiration

All AccessCodes will (automatically) expire on April 15, 2003. This expiration date is strict and will not be extended. After April 15, you will need a special authorization from the IPC secratariat to access the final paper submission site of the SYSID webserver with a new AccessCode. Requests for such authorizations should be done by email to the IPC secretariat, and will (and can) not be handled before April 15.

Entrance to this site

There are various ways to enter the final paper submision site and/or the personalized author's pages.
  • your paper notification email contains a direct link to your personalized author's pages.
  • the SYSID-2003 home page http://www.sysid2003.nl, gives access to the final paper submission site by clicking on "authors and speakers".
  • the main page of the final paper submission site http://www.sysid2003.nl/finalsubmission/index.php gives access after filling in your PaperID and your AccessCode.

Corrections, re-uploads and re-submissions

If you wish to make corrections, changes or updates to any of the forms or files that already have been submitted or uploaded, simply click on the form again. All forms will be reloaded with the (last entered) data that you submitted. All forms can therefore be re-submitted, re-worked or double-checked as often as you like. Re-uploads of your final manuscript with the paper upload form are also possible (till the submission deadline) and will cause all earlier submissions to be overwritten (independent of the file name that you supply). The "reset" button (when present) clears the form but not the last submitted entries in the database. In all cases, only the last submitted data is stored in our database.

Step 1: Paper evaluations

The International Program Committee (IPC) reviewed all submitted papers and invited session proposals. All papers have been reviewed by two members of the IPC. The evaluation results of your paper have been made available via the web. The numerical scores have the following meaning:
  • 5: excellent
  • 4: good
  • 3: sufficient
  • 2: insufficient
  • 1: poor
  • 0: not suitable for this conference
  • 99: not reviewed

Step 2: Manuscript preparation and uploading

Important issues

In preparing the final version of your manuscript, please take note of the following important points:
  • Authors must ensure that the IFAC/Elsevier style and layout guidelines are adhered to exactly and that the final paper does not exceed the page limit of 6 pages.
    This means that final papers, from all paper categories of the symposium (REG, SWR and ISC), are limited to 6 pages and are supposed to be typeset in double column format suitable for direct printing onto A4 paper (8.3in x 11.7in/210mm x 297mm), using Times Roman 10pt typeface, without page numbering, and with fully embedded figures, tables and fonts.
  • All final papers must be uploaded electronically as a Portable Document Format or as a PostScript file by using the paper upload form on your author's page.
    In spite of what is stated on the Elsevier site, we do not accept final papers in MS Word (.doc) format or compressed files (of any type), and we do not accept submissions by email.
  • Final manuscripts must be received by the SYSID webserver on April 15, 2003.. All Access Codes issued to the corresponding authors of accepted papers will expire after this deadline. This deadline will be strictly enforced!

Uploading your manuscript

The final version of your manuscript should be uploaded to the SYSID webserver with the paper upload form on your author's page. Note that only postscript (PS) or portable document format (PDF) files will be accepted. Before uploading your manuscript, please use the

IFAC checklist

We do not accept documents in Word (.doc) format. Files larger than 2MB may not be accepted by our webserver. We strongly recommend to keep your file below this size. If this is not possible, please contact the IPC secretariat for a manual upload.

Step 3: Update paper datails

Why?

Please verify and (possibly) update the registered paper details of your paper with the paper update form. At this time you may still change the title, authors and keywords of your paper. he information that you provide on the paper update form will be used for the final program, for the scheduling of your presentation in an appropriate session and for the generation of the author's list.

How?

Please make sure that the paper details on the form exactly match the paper details of your final paper. Concerning the paper update form:
  • do not use capitals in the title of your paper, except for the first character of the title, for abbreviations and for person names. Mathematical symbols in the title should be entered as in LaTeX.
  • do not use capitals in the author's names, except for the first characters in person names.
  • please compare the keywords provided by the International Program Committee in the review evaluations with the keywords listed on the paper update form. The paper update form lists the keywords that you provided upon first submission of the paper. If the reviewer's suggestion for keywords is more adequate, we recommend that you change your keywords.
An example of an Affiliation is "Eindhoven University of Technology". Examples of a Department are "Department of Electrical Engineering" or "Division of Modeling and System Identification".

Step 4: Copyright transfer form

Why?

Authors must have taken the necessary steps to obtain permission to use any material that might be protected by copyright. Authors must agree to transfer copyright of their paper to IFAC. Papers cannot be published unless they have been released from all patent and proprietary restrictions. A signed copyright form transfers copyright in the paper to IFAC. For legal reasons, the original completed and signed copyright form must be available in hardcopy. Thus authors must return the completed and signed copyright form by regular mail to the IPC secretariat.

How?

Please print out a hard copy of the form (a pdf file of 107kB), complete the form and send it by regular mail to the IPC Secretariat. We would be very pleased if you indicate your paper identification number in the top-line after: "Our reference" on the form.

Step 5: Abstract submission

Why?

A short abstract of all accepted papers will appear in the Final Program which will be in your conference registration package. The text of the abstract should be a concise summary of the contents of your presentation and paper.

How?

The abstract should be approximately 80 words, not exceed the length of 100 words, and should be submitted through the abstract submission form. Please use plain ASCII text in the abstract submission form and avoid the use of equations and escape characters. Especially, do not paste text in the abstract field that has been generated by word processors that include non-ASCII command strings (like MS Word). If equations or mathematical symbols are necessary, please enter them as LaTeX source code, making sure that you do not assume the use of any package or LaTeX macro other than the standard "latexsym" package. We will include and compile your abstract directly from your submission in the Final Program and not be held responsible for compilation errors in the abstracts.

Step 6: Registration of presenting author

Why?

IFAC always requires authors to present their paper at the meeting. You must present your paper at the meeting in order for it to be included in the official Symposium Proceedings and to have it considered for recommendation to the IFAC journals and affiliated journals. It is for this reason that at least one of the authors needs to register for the symposium.

How?

On the presenting author form you will need to indicate which author of your paper will present the paper and register for the symposium. This form is not meant as a registration form. To register for SYSID-2003, you are referred to the SYSID-2003 registration site.
